Operations Support Officer (Electrical)

Role Overview

We are creating this senior leadership position to drive excellence in project preparation, operational systems, cost control, and continuous improvement.
This is not an administrative role. It is a high-ownership position for a proactive, systems-orientated professional who thrives on accountability, challenges the status quo, and wants to shape how a growing electrical business operates.

You will ensure every project is set up for success—accurate, clear, profitable, and build-ready—before it reaches the site. Working closely with the Managing Director, Operations team, builders, lighting suppliers, consultants, and key partners, you will bridge the gap from concept to flawless execution.

Key Responsibilities

Project Preparation & Documentation
• Gather, coordinate, and organise all electrical scope information from builders, lighting suppliers, consultants, and subcontractors.
• Prepare comprehensive design and construct documentation using Client’s Electrical templates, tools, and processes.
• Perform detailed take-offs and mark up plans in Groundplan (lighting, power, switching, services, and design intent). Clearly annotate plans with selections, allowances, exclusions, and scope notes.
• Request, review, and manage supplier and subcontractor quotations.

Quoting, Job Setup & Systems Ownership
• Own the accuracy, structure, and profitability of quotes using Groundplan take-offs integrated with AroFlo.
• Create and maintain projects, tasks, and quote templates in AroFlo to ensure consistency, clarity, and strong margin control.
• Support material and inventory preparation, including adding/updating inventory items per company processes.

Operations, Cost Control & Reporting
• Monitor and track job costs, labour hours, variations, and performance across active projects via ROI Flow.
• Identify risks early and collaborate with the Operations team to mitigate them before they impact delivery.
• Develop and deliver insightful management reports on costs, hours, margins, trends, and key performance indicators.

Software Ecosystem & Continuous Improvement
• Become an expert in our integrated platform ecosystem: Groundplan, AroFlo, ROI Flow, Google Drive/Gmail, and Go High Level (CRM — with support from Operations Admin).
• Take proactive ownership of improving data flow, reducing double-handling, and enhancing visibility across systems.
• Identify and implement efficiencies, including exploring automation opportunities via N8N, AI agents, and integrations.
• Collaborate with external partners (e.g., Spark Interact for marketing/website intersections) where improvements overlap.

Training & Development
