HR Officer (WFH)

Work Setup:
Project base: 4-month contract only.
Onsite for the first month, then transition to WFH
Monday to Friday
6:00 AM to 3:00 PM

Job Responsibilities
HRIS System Management (Ceridian Dayforce)
• Processing of New Hires end to end, including conducting VEVO / pre-employment checks, issuing contracts, hiring employees, and assigning payment policies in line with the relevant industry award.
• Actioning Primary / Secondary Work Assignment requests (including store transfers).
• Actioning Contract Change requests, generating contracts and ensuring they are returned and processed.
• Managing jobs / positions and organizational hierarchy.
• Set up reports to be run on a monthly basis / as needed.
• Update Onboarding Policies as needed.
• Work closely with payroll to manage employment compensation and contract updates.
• Update employee allowances.
• Submit termination forms for employees as directed by the HR Advisor.
• Administration for the People and Culture team.
• Ensuring compliance and completion by monitoring return of documents, policy signoffs, etc.
• Filing important documents.
• Processing invoices through Rapid AP.
• Manage the leave calendar.
• Managing the P&C mailboxes.
• Password resets for Dayforce and the Internal Comms platform (Workvivo).
• Concur management for the People & Culture team.
• Processing of Staff Discount requests.
• Other administrative tasks as required.

Information Requests and Management
• Replying to general enquiries over the phone and email.
• Statements of service and other employee requests.
• Jury duty letters.
• Updating contact lists on the intranet (The Shed).
• Monthly service anniversaries emails and posts on Workplace.
• Coordinating People and Culture Activities.
• Champion of HFM culture in the Manila team.
• Coordinate events and activities as required (e.g., Christmas party, conference, etc.).

Training
• Administration and reporting on training conducted and completed.
• Book and coordinate training for: forklift, RSA, Pallet Jack, Fire Warden, Food Safety, Traffic Control, First Aid.
• Monitor the above training expiration dates and coordinate renewal training of certifications.
• Managing workshop attendees and learning through Dayforce.

Foundation Activities
• Establish and maintain position descriptions for all roles within HFM.
• Develop and maintain organizational charts within Dayforce.
• Update and maintain policies and procedures as required.
• Attend to any ad hoc tasks that may be assigned from time to time.

HR Support & Customer Service
• Management of Jira ticketing, distributing tickets to relevant team members to action promptly, and
within a few hours of receipt.
• Responding to employees promptly with high levels of customer service.
