Admin Operations Coordinator (Hybrid)
Key Responsibilities:
• Manage the effective scheduling, time management, and hiring of casual staff in line with operational needs.
• Prepare and distribute daily rosters based on project resource requirements.
• Coordinate and oversee staff inductions and training sessions to ensure readiness and compliance.
• Review and approve casual staff timesheets accurately and on time.
• Prepare and manage daily run sheets for truck drivers.
• Maintain clear and consistent communication between the Project Management Team and Operations Team.
• Update and manage the staff database with accurate and timely information.
• Liaise professionally with external stakeholders to support smooth project execution.
• Attend and actively contribute to weekly operations meetings.
• Perform general administrative tasks, including documentation, data entry, and reporting.
• Ensure adherence to company policies, procedures, and compliance requirements.
Education and Experience:
• Bachelor’s degree in Business Administration, Human Resources, Operations Management, or a related field preferred.
• Minimum of 5-10 years of experience in operations coordination, workforce scheduling, or administrative support.
• Experience managing casual or project-based staff is an advantage.
Skills and Competencies:
• Strong time management and organizational skills with the ability to handle multiple priorities effectively.
• Proficient in Microsoft Office Suite (Excel, Word, Outlook) and workforce management or scheduling tools.
• Excellent communication and interpersonal skills for effective coordination with internal teams and external stakeholders.
• Strong attention to detail and accuracy in maintaining staff data and preparing reports.
• Ability to work independently with minimal supervision while maintaining a high level of professionalism.
• Problem-solving skills with a proactive and flexible approach to work.
• Knowledge of HR or operational compliance standards and company policies.
