Admin Officer

Responsibilities:

Administration for the Human Resources team

  • HR Reporting completed weekly, monthly, quarterly and as needed
  • Data accurately and timely keyed into ENABLEHR/Tanda Payroll
  • Ensuring HR compliance through completion and monitoring return of joiners and leavers documents, obtaining approval signatures etc. Check all new employees for potential Government wage subsidies, indigenous incentives, etc.
  • Manage recruitment support for advertising, coordinating interview invites and arranging online psychometric testing
  • Preparing HR related letters such as letter of offer, employment contracts, confirmation letter, resignation/termination agreements, certification of employment and Visa letters etc.
  • Co-ordinating outsourced provider of pre-employment background screening checks and verification of work permits and visas
  • Monitoring renewal of work visa and dependent visa
  • Probationary Review reminders
  • Assisting with Performance Review related tasks if required
  • Handle Leave Administration via ENABLEHR/Tanda Payroll
  • Data entry into ENABLEHR/Tanda Payroll
  • Other administrative tasks as required
  • Management of ISO Systems in the business. Prompt appropriate staff to complete audits etc.

 

Information Requests and Management

  • Generating reports as scheduled and on an ad hoc basis
  • Maintaining and updating HR databases, trackers, personnel files, soft copy files in HRIS and SharePoint
  • Replying to general inquiries over Teams and email
  • Statements of service and other employee requests for letters
  • Generate Service Award list

 

Coordinating People and Culture Activities

  • Book training
  • Assist with coordinating all on/off boarding processes including induction materials and contract renewals
  • Coordinate Training & Inductions
  • Processing training forms, funding, and grants
  • Process employee set up for online induction
  • Scheduling and confirming attendance to training
  • Manages training-related tasks as required and maintenance of training matrix

 

Foundation activities

  • Maintain organizational charts
  • Update and maintain policies, procedures and employee handbooks as required (all online with ENABLEHR)
  • Assists with Compliance tasks such as Succession Planning and Training Logs

 

Required Skills, Knowledge and Attributes

  • Over 2 years’ experience in Human Resources Administration
  •  Strong background in HRIS and other HR tools
  • Solid Australian experience
  • Excellent verbal and written communication skills
  • Well organized and able to priorities and juggle multiple tasks and changing priorities.
  • Good working knowledge of MS Office, and capacity to learn payroll systems
  • Ability to maintain a high degree of confidentiality.
  • Able to work independently, take initiative but also be an enthusiastic team player.
  • High level of proficiency in MS Office and HRIS.
  • Relevant tertiary qualifications.
